Our client is seeking a dedicated Legal Assistant to play a key role in client intake, relationship management, and administrative operations. As the primary contact for prospective, current, and former clients, you will provide essential support to attorneys and paralegals, managing inquiries, coordinating consultations, and overseeing client relations.
 
Compensation and Benefits:
  • Annual salary: $45,000-$50,000 (based on experience)
  • Biweekly payroll (Fridays)
  • Vacation: 10 business days (2 weeks), available after 90-day probation
  • Sick leave: 5 business days (1 week), available after 90-day probation
  • Paid holidays: 12 per year
  • Health, dental, and vision insurance available after 90-day probation
  • Employer covers 75% of monthly premiums; employee pays 25% (deducted biweekly)
This position focuses on driving client conversion, retention, and cross-selling opportunities while upholding the highest standards of confidentiality and professionalism. You will report directly to the Chief Operating Officer (COO) and collaborate closely with attorneys, paralegals, and administrative staff under the guidance of the Firm Owner.
 
In compliance with ABA Rules of Professional Conduct and State Bar guidelines, support staff must avoid the unauthorized practice of law. This includes refraining from answering legal questions or advising clients on their cases.
 
Key Responsibilities:
  • Client Intake & Communication: Handle inquiries, screen potential clients, schedule consultations, and follow up to maximize client conversion and retention.
  • Data & Case Management: Collect and securely manage client info using Lawmatics and MyCase software.
  • Administrative Support: Manage calendars, mail, billing, office supplies, and support attorneys/paralegals.
  • Financial Tasks: Process invoices, monitor accounts receivable, and handle escrow deposits.
  • Marketing & Client Relations: Assist with email campaigns, social media management, event support, and networking activities.
  • Office Environment: Maintain a welcoming and professional office, ensuring client comfort and confidentiality.
Qualifications:
  • High school diploma required; Bachelor's degree in business, behavioral science, or related field preferred
  • Minimum 2 years experience in legal intake, customer service, receptionist, or office administration
  • Bilingual in English and Spanish preferred
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), and Adobe Acrobat
  • Skilled in MyCase legal case management software
  • Knowledgeable in Lawmatics CRM system
  • Comfortable using standard office equipment (phones, computers, copiers, fax machines)
  • Typing speed of at least 70 WPM
  • Working knowledge of marketing and social media management is a plus
