Development Coordinator

The Development Coordinator plays a pivotal role in supporting the Advancement Department (75%) and the Communications Department (25%) at The Herbert Wertheim UF Scripps Institute for Biomedical Innovation & Technology, part of the University of Florida. The Coordinator is responsible for managing multiple high-level development projects, and will work across both teams to plan and execute special events and address a variety of administrative functions. This role is primarily managed by the Executive Director of Advancement with some oversight by the Director of Communications. Occasional driving and travel are expected as part of the job duties.

Administrative Support:
Maintain organized and efficient administrative processes to ensure seamless operations for the Advancement and Communications Departments. This includes, but not limited to, managing calendars, scheduling meetings, coordinating travel, and handling expense reports. Additionally, the position requires overseeing office supplies and ensuring that logistical needs are met for staff and guests.
Donor Relations and Strategic Initiatives (Advancement):
A significant portion of the role is dedicated to enhancing donor relationships and supporting strategic fundraising initiatives. This involves conducting research to identify potential donors, managing donor records, and facilitating communications for funding opportunities. The position also coordinates donor visits, manages donor acknowledgment processes, and supports the planning and execution of fundraising campaigns. The role is critical in maintaining data accuracy and providing analytical support to measure fundraising effectiveness.
Event Coordination:
Plan and execute a variety of Institute events, from donor recognition and public lecture events to executive-level meetings. This involves coordinating logistics, managing vendor relationships, and ensuring a professional guest experience. The position also requires collaborating with both Advancement and Communications teams to capture and share event outcomes and maintain accurate records.
Travel may be required for this employee designated as frequent, non-frequent or none in accordance with UFA’s driving policy.
Will operate vehicles for an assigned business purpose as a “non-frequent driver” (1-2/mth)
Perform related duties as required or deemed appropriate to the accomplishment of the responsibilities and functions related to this position.
Expected Salary:

Minimum Requirements:      
Bachelor's degree or an equivalent combination of education and experience.
Preferred Qualifications:      
The ideal candidate will possess:
  • Prior experience in development, fundraising or higher education.
  • Prior project management experience.
  • Prior experience in event management, working with vendors and contracts and comfortable working after normal business hours.
  • Strong organizational skills.
  • Will take initiative, possess strong work ethic and demonstrate the ability to handle a broad workload, manage various projects simultaneously and meet deadlines.
  • The ability to work strategically, develop and implement constituency programs and activities, along with a talent for motivating volunteers.
  • Accuracy, attention to detail and a customer service-oriented attitude.
  • Ability to work collaboratively and be a team player.
  • Competency in problem solving.
  • Will be an outstanding communicator and possess excellent written and verbal communication skills; interpersonal skills; and the ability to work collegially and interact effectively with a diverse constituency.
  • Working knowledge in these areas:  Windows, Microsoft Word, Microsoft Excel, Microsoft Access, internet browsers, preferably Internet Explorer, E-mail.  Working knowledge of a donor database, contact management and tracking system. Experience working in Adobe Creative Suite a plus.
  • The ability and willingness to travel.  A valid driver license and good driving record are essential.
